Bylaws

Article I
Mission Statement
Sancta Familia Homeschoolers-NM is a coalition for homeschoolers in the Catholic Tradition in the state of New Mexico. We are devoted to making available a network of resources for projects that require a collaborative effort among groups, thereby providing a visible source of support for Catholic homeschoolers throughout the state. Our goal is to foster activities and events that cultivate faith, encourage families, as well as fortify the Catholic homeschooling community overall. We are faithful to the Magisterium of the Church and place ourselves under the protection of the Holy Family. We are open to the Holy Spirit so as to discern how the Lord wishes us to work together.

Article II
Eligibility
Membership is open to those homeschooling or those supportive of homeschooling who submit a membership form. At least one parent must be a practicing Catholic.
Membership Form
A potential member must submit a membership form. On the membership form, applicants must provide their family name, address, phone number and e-mail address. A roster will be compiled with this information. The roster is for personal and Sancta Familia use only. To protect member privacy, the membership roster may not be distributed to any organization or person outside Sancta Familia Homeschoolers-NM.
Article III
Officers
The officers are the President, Vice President, Secretary, and Treasurer. These officers must be actively homeschooling. The term for each office is from July 1 to June 30 of the following year. The duties of the officers, in addition to attending as many meetings as possible, are as follows:
President:
- Provide leadership and direction for Sancta Familia Homeschoolers--NM.
- Appoint coordinators to complete the activities that the group considers a priority.
- Plan agendas for and conduct regular Sancta Familia meetings.
- Call a meeting of the Officers before the October meeting to discuss the upcoming year’s budget.
- Oversee other officers and activities of the group.
- Keep a copy of the financial reports at each meeting.
- Give a short official report regarding official duties either at the last meeting of the year, or at a conference for those years we have a conference.
Vice President:
- Assist the President in leadership and planning for Sancta Familia Homeschoolers--NM.
- If the President is no longer able to serve, the Vice President will take over the President’s duties.
- Collect a write-up for each Sancta Familia event including things that went well in the event and things that to be done differently for the next year.
- Schedule a location for the regular meetings.
- Keep a copy of the financial reports at each meeting.
- Give a short official report regarding official duties either at the last meeting of the year, or at a conference for those years we have a conference.
Secretary:
- Take and distribute minutes at all Sancta Familia meetings.
- Publicize selected events through area Catholic homeschooling groups, publications and other media outlets, including: People of God, Catholic Communicator, PMD Express, Catholic radio, and local parish bulletins.
- Keep a copy of the financial reports at each meeting.
- Give a short official report regarding their official duties (specifically focusing on publicity) either at the last meeting of the year, or at a conference for those years we have a conference.
- Keep an accurate roster of members of Sancta Familia.
Treasurer:
- Collect dues and deposit money in the Sancta Familia checking account.
- Accept payments for conference and other events.
- Pay all bills from the Sancta Familia checking account.
- Compile financial reports monthly, including details for money paid out and money received.
- Distribute financial reports to officers at each meeting.
- Check and balance bank statements monthly.
- File annual taxes with state and federal government.
- Work with the Board to prepare a budget for the year.
- Give a short official report regarding official duties either at the last meeting of the year, or at a conference for those years we have a conference.
- Work with other officers to propose upcoming year’s budget to be voted upon during October meeting.
- Compile a yearly financial report at the end of the term of office.
Article IV
Nominations and Elections
The following positions will be filled by election: President, Vice President, Secretary, Treasurer.
In March, the President will call for nominations and volunteers. Members may nominate others (with the nominee’s approval) and may also submit a self-nomination. In April, the nominating committee will meet. The nominating committee consists of the current Sancta Familia President and any former Sancta Familia presidents. The nominating committee will seek additional candidates for offices, if necessary. The President should make every effort to ensure that all officer positions are filled for the coming year.
A meeting will be held in May to include voting for officers. The final list of candidates will be announced to the membership at least one week before this meeting. Nominations from the floor will also be taken. Parliamentary procedure will be followed for the May meeting. All officers may serve consecutive terms, but the President is limited to two consecutive terms.
Any officer who cannot complete his or her term of office should contact the President thirty days prior to vacating the position. The officer and President will seek an acting replacement who can be voted in at the next regular meeting.
At the discretion of the Officers, the timing and exact procedure may be modified. Any changes will be announced to the membership.
Article V
Meetings
The officer meetings for Sancta Familia officers will be held annually in the early fall (before the October meeting) to discuss the upcoming year's budget and tentative plans. Notification of this meeting shall be made at least 14 days prior to said meeting.
The regular business meetings of the membership will be held approximately every 2-3 months. Notification of this meeting shall be made at least 14 days prior to said meeting.
In the case of an emergency, the President or Vice President may call for either an emergency meeting or emergency vote by email with less than fourteen days’ notice. Notice must be given to all members.
The President may call other meetings.
A quorum shall be three voting members.
Voting Rights:
Voting Rights are reserved for Sancta Familia members.
If a married couple would like to become Sancta Familia members, the couple will have one vote.
If a Catholic homeschool co-op, group, or organization has more than two members present for a given vote, the organization will have two votes.
Amending the bylaws or dissolving Sancta Familia must be approved by a two-thirds vote of those present at a meeting. All other issues can be passed with a simple majority.
Article VI
Amendments
These bylaws may be amended by a vote of two-thirds of the members of the organization present at any regular meeting or at a special meeting called for that purpose. Fourteen days’ notice of the date of the meeting and content of the proposed amendment must be given before any vote to amend. The membership shall be notified of adopted bylaw amendments by the most feasible means.

Dissolution
Previous notice (sent by e-mail and mail) of a meeting to discuss dissolution and a two-thirds vote of people present can dissolve Sancta Familia Homeschoolers – NM. Regular voting guidelines will apply. Any voting member unable to attend the meeting can send a vote to the President to be tabulated with other votes at the meeting. All outstanding bills will be paid. The remaining money will be donated as follows: fifty percent to St. Jude Thaddeus Parish and fifty percent to Project Defending Life.
